I’m Rebecca Reed, and I’m responsible for how Rebecca Reed Therapy uses and protects personal information. I’m registered with the Information Commissioner’s Office (ICO). My registration number is 00014583915.

I know that getting in touch about therapy can mean sharing sensitive information about yourself or your child. This notice explains what information I collect, why I use it and how you can contact me about it.

What information I collect

When you contact me through my website, by email or by phone, I may receive your name, contact details and the information you choose to share about your enquiry. Please avoid including detailed or urgent information in the website contact form; we can discuss your circumstances more fully when we speak.

If we arrange therapy, I may also hold information about the child or young person, their parents or carers, and other relevant people. This can include assessment information, relevant health and family information, correspondence, appointment and payment records, and brief clinical notes. I will explain how I handle therapy records as part of our agreement to work together.

My website also collects some technical information, such as information about your browser and how you use the site. The section on cookies below explains more.

Why I use information

I use personal information to respond to enquiries, consider whether I can offer a service, arrange and provide therapy, manage appointments and payments, and meet my professional and legal responsibilities.

I use information needed to respond to enquiries and arrange therapy, to provide the service we agree, and to meet legal obligations such as keeping financial records. Therapy may involve sensitive information about health and wellbeing. I use this where necessary to provide therapy under my professional duty of confidentiality.

I do not use information shared in therapy enquiries or sessions to send marketing messages without permission.

Confidentiality and sharing

I treat information shared with me confidentially. I discuss clinical work in professional supervision, taking care to protect clients’ identities.

There may be circumstances where I need to share relevant information, for example if I am concerned about someone’s safety or am required to do so by law. I explain the limits of confidentiality when we begin working together. Where appropriate, I may also share information with another professional or service with your agreement.

Services that help me run my practice may process information on my behalf. These services include Squarespace, which hosts my website and Google, which provides my professional email and Google Drive storage.

How I store information and how long I keep it

I take steps to keep personal information secure and restrict access to it. Website enquiries are sent to my professional Gmail inbox. I keep clinical notes and client records in Google Drive. Access to these accounts is restricted to me.

I keep adult client records for five years after therapy ends. For clients who were under 18 during therapy, I keep records until five years after their 18th birthday. If therapy continues beyond their 18th birthday, I keep the records for at least five years after therapy ends.

If an enquiry does not lead to therapy, I delete the enquiry correspondence six months after our last contact, unless I need to keep it longer for a specific reason.

Your rights

You have rights over your personal information, including the right to ask for a copy and to ask me to correct information that is inaccurate. Depending on the circumstances, you may also be able to ask me to erase or restrict the use of information, or object to how it is used. Some rights have exceptions, particularly where records must be retained for legal or professional reasons.
